THE POSITION

The Executive Assistant provides day-to-day assistance to the President and Vice President, including managing correspondence (phone and email), calendars, event planning, and scheduling sales and outreach meetings. They will also provide operations support within the office. Some travel may be required in this position.

The successful candidate will be a clear communicator, a problem-solver, and never hesitate to roll up their sleeves to do the work needed to get a job done well. Across all their responsibilities, they ensure tasks are completed with a high degree of quality and in a timely manner.

JOB DUTIES

Communications Support

  1. Field incoming phone calls, respond accordingly, schedule follow-up calls and meetings as necessary.
  2. Help manage Executive calendars, coordinating meeting participation and timing.
  3. Provide support in managing Outlook inbox for Vice President, ensuring timely responses and following up as directed.

Sales and Outreach Support

  1. Schedule in-person, phone and video meetings for President and outreach staff with bankers, government officials, local economic development partners, funders, and other MoFi partners.
  2. Design sales tours and travel itineraries based on guidance from President and sales team, paying special attention to optimizing routes and maximizing time in meetings.
  3. Log all meetings and supporting activities in MoFi’s CRM database.
  4. Execute any meeting follow-ups including email, direct mail, phone calls, etc. as outlined by the President.
  5. Maintain up-to-date contact records in MoFi’s CRM database.

Office Administration

  1. Assist with event planning, organization and execution.
  2. Assist various teams as needed (ex. Pulling background for the lending team, coordinating events for sales team)
  3. Perform regular data entry and updates for contacts
  4. Prepare expense reports for some of the company credit cards on a monthly basis.
  5. Run office errands.
  6. Make travel arrangements for Executive team including booking flights, hotels, and cars.
  7. Occasionally provide support with MoFi’s main phones including answering, transferring phones to the appropriate person, checking mainline voicemails, and maintaining internal phone number lists.
  8. Occasionally provide support with the general company email inbox, respond to emails, forward emails to the appropriate person, and maintain out of office notifications for office closures.

QUALIFICATIONS

  • Bachelor’s degree required.
  • A minimum of three years of experience in a similar position.
  • Polished communication skills and strong interpersonal skills.
  • Excellent organizational skills.
  • Ability to work and thrive in a fast-paced, changing environment.
  • Excellent time management and prioritization skills.
  • Ability to juggle and prioritize multiple time-sensitive tasks
  • Natural desire to be proactive and create a positive experience for those around you
  • Proven ability to work collaboratively and foster strong relationships with colleagues
  • Strong technical acumen, including use of MS Office suite. Excel and data analysis a plus.
  • Familiarity with Salesforce (or other CRM) a plus
  • Comfortable working with numbers

COMPENSATION

The salary range is $45,000-$60,000 per year. The position includes full healthcare benefits, short and long-term death and disability, employer-sponsored 401K retirement benefits, life insurance, holiday savings contributions, monthly wellness stipend, and paid time off.
