Status: Part-Time (20-30 hours/week), Non-Exempt

The Position:
Having an organized, high-functioning workplace is key to the happiness, balance, and productivity of our people. The Administrative Assistant is an integral member of the team, providing day-to-day administrative and operations support, and creating an environment in which our people can thrive. Responsibilities range from managing MoFi’s incoming and outgoing business communications (phones, email, walk-ins), to events and facilities management. The Administrative Assistant serves as a central hub for office activities, and as such, has a firm knowledge of all people and teams across the organization. They understand the core functions of each team and are able to quickly and effectively connect callers with the information they need. Because they frequently serve as a first point-of-contact for MoFi clients, supporters, and community partners, they ensure that anyone who comes into contact with our office has a stellar first impression.

The successful candidate will be a clear communicator, a problem-solver, and never hesitate to roll up their sleeves to do the work needed to get a job done well. Across all of their responsibilities, they ensure tasks are completed with a high degree of quality and in a timely manner.

Job Duties:

Office Administration

  • Manage MoFi phones including answering phones, transferring phones to the appropriate person, accepting payments, checking mainline voicemails, setting up new phone stations, and maintaining internal phone number lists
  • Maintain the general company email inbox, respond to emails, forward emails to the appropriate person, and maintain out of office notifications for office closures
  • Greet and assist all incoming office visitors, including clients, vendors, board members, and others
  • Sort and distribute incoming mail and packages; prepare outgoing mail and packages
  • Purchase office supplies and anticipate future needs; maintain supply vendor relations
  • Schedule regular repairs and maintenance for the office building and company vehicles
  • Prepare expense reports for supplies, general staff development, and some of the company credit cards on a monthly basis
  • Set up employee furniture and IT equipment in offices as needed
  • Assist with staff event planning, organization and execution
  • Make travel arrangements for staff members including booking flights, hotels and cars
  • Run office errands
  • Monitor contracts and agreements and renew as needed
  • Maintain a clean, well-organized office environment
  • Perform regular data entry and updates for contacts

IT

  • Set up computer and phone systems in offices
  • Troubleshoot minor IT issues for staff
  • Manage basic website updates

Qualifications

  1. Bachelor’s degree required
  2. A minimum of three years of experience in a similar position
  3. Polished communication skills and strong interpersonal skills
  4. Excellent organizational skills
  5. Ability to work and thrive in a fast-paced environment
  6. Ability to juggle and prioritize multiple time-sensitive tasks
  7. Excellent time management and prioritization skills
  8. Natural desire to be proactive and create a positive experience for those around you
  9. Proven ability to work collaboratively and foster strong relationships with colleagues
  10. Strong technical acumen, including use of MS Office suite. Familiarity with Salesforce (or other CRM) a plus.

Compensation

The hourly range is $17-$25 per hour. The position includes full healthcare benefits, short and long-term death and disability, employer-sponsored 401K retirement benefits, life insurance, holiday savings contributions, monthly wellness stipend, and paid time off.
